The Administrative Supervisor (Executive Assistant to the Chief of Police) provides technical and complex administrative support for the Chief of Police, including coordinating meetings and calendars, facilitating special projects and programs, and providing high level customer service. The incumbent performs a wide variety of tasks requiring initiative, independent judgment and working knowledge of City organization and programs. Work entails dealing with confidential and sensitive issues requiring a high degree of discretion. The incumbent also serves as a liaison between the police department and other departments throughout the City, and other agencies. Provides supervision to other administrative and clerical staff as assigned.

  • Independently plan and coordinate department functions and services; provides administrative management of sensitive and confidential issues.
  • Anticipate the needs of and manage the day-to-day operations of the Office of the Chief. Communicate with staff, organize appointments, prepare, and respond to questions.
  • Prepare information necessary for assigned projects, including researching, collecting, analyzing, and compiling data and information; prepare reports and present information to a variety of audiences
  • Compose and prepare a variety of correspondence, reports, and other materials. Review documents and communications on behalf of the department for content and accuracy.
  • Manage the schedules and calendars of the Chief of Police, organize meetings and coordinate department staff attendance at various meetings, events, and conferences. Coordinate travel arrangements.
  • Screen and sort incoming mail to the Chiefs office, determining priority of items for consideration. Prepare appropriate responses or refer to appropriate department staff and track responses.
  • Serve as a liaison between the police department and the community, staff, and other agencies; use sound judgment to respond to citizens regarding sensitive issues; take responsibility for decisions, exercise tact, independence and initiative in managing sensitive and confidential matters and situations.
  • Facilitate and coordinate communication between police department and the community, city departments and/or City Council. Manage constituent inquiries and concerns; research and analyze relevant constituent issues.
  • Provide excellent customer service and assist with administrative problems as they pertain to the department; disseminate information throughout the department and/or City; prepare and distribute reports and memos to other departments, employees and/or the public.
  • Maintain and track personnel and departmental data, directories, and files.
  • Create, update, and maintain routine and moderately complex spreadsheets, documents, invoices, requisitions, and agreements.
  • Prepare budget offers and expense reports for the department.
  • Supervise, plan, organize and direct the work of assigned staff.

Knowledge of and Skills in:

  • City organization and local government structure, practice, and procedures.

  • Highly skilled in providing support at the executive level and in responding to and providing solutions to sensitive and confidential matters.
  • Professional standards for business correspondence.
  • Advanced knowledge and technical proficiency in a variety of computer programs including Microsoft products such as Word and Outlook; familiarity with SharePoint, OneNote, Excel, Enterprise Accounting software, and City timekeeping and workforce management systems, including Telestaff, UKG (formerly Kronos).
  • Utilizing software to produce perform analysis, manage data, and develop reporting.
  • Strong written and verbal communication skills.
  • Providing high level of customer service.
  • Principles of supervision, training, and performance evaluation.

Education and Experience:

  • Associates degree with a minimum of seven years of high-level administrative support experience, including two years of executive level support;
  • Bachelors degree preferred;
  • Two years experience in lead or supervisory capacity; or
  • Any equivalent combination of education, experience and training that provides the required knowledge, skills, and abilities.
  • Public sector experience preferred.

Licenses and certificates:

  • Valid WA State Driver's license required

Selection Process
  • All candidates will be invited to take Public Safety Testings Personal History Questionnaire (PHQ), which is pass/fail.
  • Top candidates who meet minimum qualifications will be invited to an initial virtual screening interview with the Chief of Police.
  • Selected candidates who have passed both the PHQ and initial screening will be invited to an in-person oral interview panel (passing score 70%).
  • Top candidates from the panel will be invited for a final Chiefs interview before selection.

Background Investigation:
Polygraph, psychological exam, drug screening, medical exam and extensive on-site background investigation will also be required of selected candidates being considered for hire.

Automatic Disqualifiers:
The City of Redmond Police Department will automatically disqualify any individual who has at any time:

  • Lied during any stage of the hiring process.
  • Falsified his or her personal history questionnaire or application or failed to disclose pertinent information.
  • Been convicted of a felony (or pled nolo contendere to a felony charge) or any offense that would be a felony if committed in Washington State or has been incarcerated for any crime.
  • Sold marijuana, narcotics or dangerous drugs.
  • All illegal and/or recreational drug use will be closely scrutinized on a case-by-case basis.
  • Had a pattern of abusing prescription medication.
  • Been dishonorably discharged from the United States armed forces.
  • Received more than two moving traffic violations within the preceding 3 years; or reckless driving violation within the preceding 5 years; or driving while license suspended within the preceding 5 years; or driving while intoxicated within the preceding five years.
  • Been involved in more than one motor vehicle accident within the preceding 3 years for which the applicant received a traffic or criminal citation and was convicted, forfeited bail, or entered a plea of "guilty" or "nolo contendere."
  • Been previously employed as a law enforcement agent and since has committed or violated federal, state or city laws pertaining to criminal activity.
  • Committed any serious violation of Federal, State, City or County laws.
  • Been convicted of any crime under a domestic violence statute.
  • Unlawful sexual misconduct.
  • Commission of a felony.

Discretionary Disqualifiers:
The following disqualifiers may, upon review by the Redmond Police Department, make you ineligible to become a City of Redmond Administrative Supervisor (Executive Assistant):

  • Alcohol or substance misuse and/or abuse.
  • Excessive traffic violations.
  • A demonstrated unwillingness to honor fiscal contracts or just debts.
  • Any other conduct or pattern of conduct that would tend to disrupt, diminish, or otherwise jeopardize public trust in the law enforcement profession.
  • An inability to perform the essential functions of an Administrative Supervisor (Executive Assistant)
