Responsible for ensuring accurate police records and data.

ESSENTIAL FUNCTIONS:

  • Greet and assist visitors; identify and document visitors entering in a secure area when covering for Reception.

  • Ability to answer, transfer incoming calls; distribute incoming faxes and incoming mail.

  • Ensure all names and related information entered in OSSI RMS are accurate.

  • Review reports, supplements and arrest reports, assuring they meet the TIBR / NIBR guidelines and are approved / available for use by the District and County Attorney's Office.

  • Assuring all reports and documents to include Officers Bios and signed Statement of Discovery Compliance by Agency Filing Case form is attached to RMS and uploaded into DEMs for District and County Attorneys Office when requested.

  • Verify all paperwork turned in is filled out correctly; scan, attach and index documents to numerous modules in OSSI RMS daily; file.

  • Assure appropriate school officials, DPS, and Juvenile Courts receive juvenile information according to Family Code Sec 58.

  • Enter Class C - On view Arrest into Incode; Enter handwritten Citations into Brazos.

  • Process Public Information Request assigned through GovQA by Records Coordinator / Records Management by attaching request information into GovQA; Redact videos.

  • Maintain all files and records consistent with the state records retention schedule and assist /prepare with files for destruction.

  • Access C.R.I.S. by TX DOT Crash Records Information System for Accident Report written/created by Officers.

  • Provide local background/record checks; accept subpoenas for Officers.

  • Works, completes, and issues Solicitor Permits once criminal background and fingerprint are received from DPS and IdentoGo.

  • Import and process false alarm calls from OSSI RMS into Cry Wolf False Alarm Solutions Systems; Import alarm payments from Authorized.net into Cry Wolf F.A.S.S.; Scan application forms received online and by mail.

  • Accept monies for all transactions, post payments in EIB/Workday, and reconcile for daily deposit.

  • Performs other duties as assigned.

MINIMUM QUALIFICATIONS:

Education, training, and Experience Guidelines

High school diploma or equivalent. Six (6) months of full-time work experience in an office environment with a customer service orientation or related experience. OR any equivalent combination of experience, training and/or education that provides the required knowledge, skills, and abilities.

Knowledge of:

  • Police records operations, Texas statutes, Texas Public Information Act, and general office procedures.

  • UCR/IBR procedures, police department standard operating procedures, TCIC/NCIC procedures.

Skill in:

  • Operating standard office equipment.

  • Operating a computer, software programs, such as Workday, C.R.I.S., Incode, Cry Wolf, Authorize.net, Brazos, OSSI RMS, DEMs, Watchguard, and researching numerous websites.

  • Accurately typing 50 words per minute.

  • Maintaining accurate records.

  • Communicating effectively, both orally and in writing.

  • Establishing and maintaining effective working relationships.

  • Reading police reports and instruction manuals for data entry.

  • Writing reports and correspondence using correct business English.

  • Performing basic mathematical calculations.

  • Understanding information in records and compiling data into concise, coherent reports.

  • Developing and maintaining logical filing systems.

  • Adapting quickly to changing priorities.

LICENSES AND CERTIFICATION REQUIREMENTS

  • Valid Class "C" Texas Driver's License.

  • TCIC/NCIC Certification. CJIS Certification. Or must obtain within six (6) months of employment.

  • Eligible for appointment/Commission as a Notary Public is required with 90 days of employment.

PHYSICAL DEMANDS AND WORKING ENVIRONMENT

Standing, sitting, walking, lifting, carrying, pushing, pulling, reaching, handling, fine dexterity, kneeling, crouching, crawling, bending, twisting, climbing, balancing, vision, hearing, talking, use of foot controls. Exposure to dust, and noise from shredder.

Working Environment may involve exposure to criminal offenders and irate members of the public.

Hiring Range: $18.36 - $23.00, hourly.
